Email Setup Guide
Use this guide to add your Padroni Hosting email account to a mobile phone, Outlook, Gmail app, Apple Mail, or another mail application.
Before You Start
Before setting up your email account, make sure you have:
- Your full email address
- Your email account password
- The correct mail server details
- A stable internet connection
Your username is usually your full email address.
Example: info@yourdomain.co.za
Standard Email Settings
Use these settings when adding your mailbox to a mail app.
Incoming Mail Server
Account type: IMAP
Incoming server: mail.yourdomain.co.za
Port: 993
Security: SSL/TLS
Username: Your full email address
Password: Your email account password
Outgoing Mail Server
Outgoing server: mail.yourdomain.co.za
Port: 465
Security: SSL/TLS
Authentication: Required
Username: Your full email address
Password: Your email account password
Replace yourdomain.co.za with your actual domain name.
For example, if your email address is info@example.co.za, your mail server is usually mail.example.co.za.
Recommended Setup Type: IMAP
Padroni Hosting recommends using IMAP for most email accounts.
IMAP keeps your mail synced between the server and your devices. This means your inbox, sent items, and folders can stay synced across multiple devices where supported.
Avoid using POP unless specifically advised, as POP may download emails to one device and remove them from the server depending on the settings.
Add Email to an iPhone or iPad
- Open Settings.
- Go to Mail.
- Select Accounts.
- Tap Add Account.
- Select Other.
- Tap Add Mail Account.
- Enter your name, email address, password, and a description.
- Select IMAP.
- Enter the incoming mail server details.
- Enter the outgoing mail server details.
- Save the account.
- Test sending and receiving.
Use your full email address as the username for both incoming and outgoing mail.
Add Email to an Android Device or Gmail App
- Open the Gmail app or your preferred mail app.
- Tap your profile icon or menu.
- Select Add another account.
- Choose Other.
- Enter your full email address.
- Select Personal IMAP.
- Enter your email password.
- Enter the incoming mail server details.
- Enter the outgoing mail server details.
- Make sure SSL/TLS is selected.
- Complete the setup and test sending and receiving.
Use your full email address as the username for both incoming and outgoing mail.
Add Email to Outlook
- Open Outlook.
- Select Add Account.
- Enter your full email address.
- If prompted, choose IMAP.
- Enter your password.
- Enter the incoming and outgoing server details manually if Outlook does not detect them automatically.
- Make sure the incoming port is set to 993 with SSL/TLS.
- Make sure the outgoing port is set to 465 with SSL/TLS.
- Save the account and test sending and receiving.
If Outlook does not connect automatically, use the manual setup option.
Common Email Setup Problems
The password is not accepted
Check that the password is correct by logging into webmail first. If webmail also rejects the password, the mailbox password may need to be reset.
Emails receive but do not send
Check the outgoing SMTP settings. Make sure the outgoing server is correct, authentication is enabled, and the SMTP port is set to 465 with SSL/TLS.
Emails send but do not receive
Check the incoming IMAP settings. Also check whether the mailbox is full or whether the domain, hosting, or MX records are active.
The phone says the server cannot be verified
Check that the mail server is typed correctly as mail.yourdomain.co.za. Also make sure SSL/TLS is selected and the correct ports are used.
Outlook keeps asking for the password
This may be caused by an incorrect password, saved old credentials, incorrect server settings, or Outlook profile issues. Test the mailbox in webmail first before changing settings repeatedly.
Webmail Access
You can usually access webmail by visiting:
webmail.yourdomain.co.za
or
yourdomain.co.za/webmail
Replace yourdomain.co.za with your actual domain name.
Use your full email address and mailbox password to log in.
Email Security Tips
- Do not share email passwords between staff members.
- Do not reuse the same password across multiple mailboxes.
- Use strong passwords.
- Update passwords if an account may have been compromised.
- Be careful with suspicious links, attachments, and login pages.
- Contact support if your mailbox starts sending spam or bounce-back messages.
